1. The Agreement

This Agreement is made between:

RST Ventures Limited trading as Peter Pan Camper Van
18 Barnetts Road, Belfast, BT5 7BA

and the Hirer named in the Booking Confirmation above, together referred to as "the Parties".

The documents forming this Rental Agreement are:

  • This Rental Agreement and Terms and Conditions
  • The Booking Confirmation (above)
  • The Vehicle Check Sheet (completed on Collection Day)

Peter Pan Camper Van will make every reasonable effort to supply the vehicle specified in the Booking Confirmation. If the vehicle becomes unavailable due to mechanical failure, accident, or other circumstances beyond our reasonable control, we reserve the right to provide a suitable replacement vehicle where possible. If no suitable replacement is available, the booking will be cancelled and any payments made will be refunded in full. For the purposes of this Agreement, circumstances beyond our reasonable control include but are not limited to: mechanical failure, accident damage, adverse weather, third-party disruption, government restrictions, or public health emergencies.


2. Definitions

Booking Confirmation — The document confirming hire details including dates, vehicle, charges and driver(s).
Collection Day — The date the Van is collected by the Hirer.
Designated Driver — The person(s) approved by Peter Pan Camper Van to drive the Van.
Hire Period — The period stated in the Booking Confirmation.
Hirer — The person named in the Booking Confirmation who enters into this Agreement.
Rate — The hire fee agreed for the Hire Period.
Security Deposit — The sum of £1,000 secured by card authorisation via ChargeAutomation prior to the Collection Day. This is a hold on funds, not a charge.
Van / Vehicle — The vehicle described in the Booking Confirmation.
Vehicle Check Sheet — The condition report completed and signed by both Parties on Collection Day, including photographic evidence where taken.
We / Us / Our — Peter Pan Camper Van (RST Ventures Limited).
You / Your — The Hirer.


3. Booking and Payment

3.1 A booking is secured once the Hirer pays a deposit of 25% of the total hire fee.

3.2 The remaining balance must be paid no later than 8 weeks prior to the Collection Day.

3.3 Bookings made within 8 weeks of the Collection Day must be paid in full at the time of booking.

3.4 Failure to pay the remaining balance by the due date may result in cancellation of the booking and forfeiture of the initial deposit.

3.5 All hire payments must be made by bank transfer or credit/debit card. Cash payments are not accepted.


4. Cancellations and Date Changes

4.1 If you cancel more than 8 weeks before your Collection Day, we will refund your deposit in full within 14 days.

4.2 If you cancel 8 weeks or less before your Collection Day, the full hire fee is forfeited. This reflects a reasonable estimate of the loss likely to be incurred, given the limited time available to re-let the vehicle and the costs already incurred in preparing for your hire.

4.3 Where we are able to re-let the vehicle for the same period at the same or higher rate, we will refund the hire fee less a £75 administration charge, within 14 days of re-letting being confirmed. We are under no obligation to seek a re-let, but will use reasonable endeavours to do so.

4.4 Refunds will be made to the original payment method where possible.

4.5 Refunds will be considered in accordance with this Agreement and applicable law.

4.6 At our discretion we may allow changes to the Hire Period if requested more than 8 weeks before Collection Day and subject to availability.

4.7 Date changes requested less than 8 weeks before Collection Day will not be accommodated.

4.8 If you return the Van early for any reason, no refund of the Rate will be due, as the vehicle has been reserved exclusively for your use for the full Hire Period.


5. Right of Refusal and Termination

5.1 Where we refuse hire or terminate this Agreement because of a breach of its terms by you, or because information provided by you in connection with driver eligibility or booking was false or misleading, we may retain all monies paid and shall have no further liability to you.

5.2 Where we refuse hire at our discretion for reasons not related to a breach or misrepresentation by you (for example, where we have a reasonable safety concern that cannot be attributed to any specific breach), we will refund the hire fee. The deposit will be retained as a contribution to lost opportunity and costs incurred.

5.3 In either case, we reserve the right to retake possession of the Van immediately and shall have no further liability to you beyond any refund due under clause 5.2.


6. Driver Eligibility

6.1 Only drivers approved in advance by Peter Pan Camper Van may drive the Van. The Designated Driver(s) named in the Booking Confirmation are the only persons permitted to drive the Van during the Hire Period.

6.2 All Designated Drivers must meet the following criteria at the time of hire:

  • Be aged between 23 and 75 years
  • Hold a full driving licence issued in the UK, EU, Australia, USA, Canada, New Zealand or South Africa
  • Have held a full licence for a minimum of 2 years
  • Not have had their licence suspended at any point in the last 3 years
  • Have no more than one fault incident or claim in the last 3 years
  • Have no more than two driving convictions with a maximum of 3 points per conviction
  • Not have obtained a BA, DD or UT conviction
  • Be medically fit to drive and not under the influence of alcohol, drugs or any medication that impairs driving ability

6.3 Additional drivers may be added at our discretion and may be subject to an additional charge. All additional drivers must meet the eligibility criteria above.

6.4 Drivers with certain conviction profiles require referral to our insurers before hire can be confirmed:

  • A single 6-point SP30, SP50 or CU80 offence: permitted subject to a double insurance excess
  • 9 points from three 3-point offences: permitted subject to a double insurance excess
  • A single MS90 or IN10 offence: requires referral to insurers
  • Any ban or disqualification: requires referral to insurers

6.5 You warrant that all information provided to us in connection with driver eligibility is true, accurate and complete. You further warrant on Collection Day that no information provided prior to collection has materially changed. Providing false or misleading information may invalidate the insurance and render you personally liable for all costs, losses and third-party claims arising.


7. Driver Verification Requirements

7.1 The following must be provided for all Designated Drivers before the Hire Period begins:

  • Copy of photocard driving licence — front and back (address and ID must be up to date)
  • Two proofs of address from separate sources, dated within 90 days of the hire end date
  • Written confirmation of any motoring claims or convictions in the last 5 years (see clause 7.5)

7.2 In addition to the above, drivers holding a GB driving licence must provide a DVLA online licence check code. This can be generated at gov.uk/view-driving-licence.

7.3 Drivers holding a Northern Ireland (DVA) driving licence must provide a photo or scan of their counterpart (paper) licence in place of the DVLA online check code. The counterpart licence must be legible and show the full endorsements section.

7.4 For drivers holding a non-UK licence, a copy of the driver's passport must also be provided in place of the DVLA online check code.

7.5 The name and address on the driving licence must match both proofs of address. Any discrepancy requires referral to our insurers.

7.6 Failure to provide satisfactory documentation prior to collection may result in refusal of hire without refund, particularly where this prevents insurance cover being put in place.


8. Security Deposit

8.1 A Security Deposit of £1,000 is required for every hire.

8.2 The deposit is collected by card authorisation via ChargeAutomation, connected to our Stripe account. An authorisation link will be sent to you the day before your Collection Day. Completing this authorisation is a condition of hire — we will confirm the authorisation is in place before handing over the keys.

8.3 A card authorisation is a temporary hold on funds. No money is taken from your account unless costs are incurred under this Agreement. The full amount or any unused portion is released automatically once any applicable hold period has expired.

8.4 The Security Deposit may be used to recover costs arising from any of the following:

  • Damage to the Van or its contents
  • The applicable insurance excess
  • Additional cleaning costs, evidenced by invoice
  • Late return charges
  • Excess mileage charges
  • Unpaid road tolls, fines or penalties
  • Misfuelling
  • Lost or damaged keys
  • Any other material breach of this Agreement resulting in financial loss

8.5 Following return of the Van, we will inspect the vehicle and either capture (charge) or release the authorisation within 24 hours. Partial captures are supported — if, for example, recoverable costs amount to £250, we will capture £250 and the remaining £750 will be released. If no costs are due, the full £1,000 authorisation will be released.

8.6 Where a damage assessment is ongoing, a fine is pending, or costs have not yet been fully quantified, we reserve the right to retain the authorisation beyond the standard 24-hour window. We will notify you if this is the case and will resolve the hold as soon as reasonably practicable.

8.7 You authorise us to charge your payment card for any costs arising from your hire, including costs identified or invoiced after the Security Deposit has been released. This includes but is not limited to: fines, tolls, parking charges, damage repair invoices, or cleaning costs notified after the Hire Period. By signing this Agreement you consent to such charges being applied to your card on file.

8.8 If costs arising from your hire exceed £1,000, you remain personally liable for any balance above that amount.

8.9 In exceptional circumstances where card authorisation is not possible, we may accept a Security Deposit by bank transfer (BACS) from the primary driver's account, received and cleared prior to Collection Day. This must be agreed with us in advance.


9. Collection and Return

9.1 The Van shall be collected on the Collection Day at the time stated in the Booking Confirmation, from Stormont Hotel, Belfast, or another location agreed in writing.

9.2 Please allow approximately one hour for vehicle handover, safety briefing and completion of paperwork on Collection Day.

9.3 On Collection Day, both Parties will complete and sign a Vehicle Check Sheet recording the condition of the Van, which may include photographic or video evidence taken at the time. You must inspect the Van thoroughly at the time of collection and raise any concerns before departure. Any damage not noted on the Vehicle Check Sheet at the start of the Hire Period will be deemed to have occurred during the Hire Period unless evidence demonstrates that the damage existed prior to collection.

9.4 If you unreasonably refuse to sign the Vehicle Check Sheet, we reserve the right to refuse hire without refund.

9.5 The Van must be returned by the time stated in the Booking Confirmation. Late returns will incur a charge of £50 per hour for the first 24 hours. Where a late return extends beyond 24 hours, or where the late return causes loss of a subsequent hire booking, we reserve the right to claim loss of hire revenue in place of the hourly charge. We will not seek both the hourly charge and loss of hire revenue for the same period.

9.6 Upon return, the Van will be inspected against the Vehicle Check Sheet. You are responsible for any new damage identified.

9.7 The Van will be supplied with a fuel level recorded on the Vehicle Check Sheet. You must return the Van with the same fuel level. If the Van is returned with less fuel than recorded, we reserve the right to charge the cost of the missing fuel plus an administration charge of £50. Misfuelling the vehicle will make you liable for all recovery, repair and loss-of-hire costs arising.

9.8 If we agree to collect the Van from you, or to allow return to a location other than our premises, you remain responsible for the Van under the terms of this Agreement until it is received by us or our recovery service.


10. Mileage

10.1 Daily mileage allowances are as follows:

  • Volkswagen Campervan (VUK 104H): 80 miles per day
  • Land Rover Defender (F547 CJP): 120 miles per day

10.2 Excess mileage will be charged at £1 per mile. Any agreed variation to the daily mileage allowance must be confirmed in writing prior to Collection Day.


11. Use of the Van

11.1 The Van must not be used:

  • By anyone not named as a Designated Driver in the Booking Confirmation
  • For the carriage of passengers or goods for hire or reward
  • For towing any trailer or other vehicle
  • For racing, rallying or any competition
  • Off-road or on roads unsuitable for the Van
  • Outside the island of Ireland without our prior written consent
  • For any illegal purpose
  • In contravention of any traffic or parking regulations
  • In restricted areas that would invalidate the insurance

11.2 Smoking inside the Van is strictly prohibited.

11.3 You must not put the Van through a rotary car wash.

11.4 You must not drive the Van when it is overloaded or when loads are not properly secured.

11.5 You must not take the Van through floodwater or allow it to come into contact with saltwater.

11.6 You shall carry only as many passengers as there are seatbelts in the Van and ensure all passengers are belted when the Van is in motion.


12. General Obligations of the Hirer

12.1 Vehicle Safety

You are responsible for familiarising yourself with the Van and its controls. You must comply with all health and safety guidance provided at handover and during the Hire Period.

12.2 Vehicle-Specific Requirements

The following additional requirements apply depending on which vehicle you have hired:

Volkswagen Campervan (VUK 104H) — Air-Cooled Type 2

On Collection Day the Designated Driver will receive a one-to-one orientation and driving demonstration with a representative of Peter Pan Camper Van. Appropriate footwear must be worn — comfortable flat trainers only. Heeled, platform, wedge or mule-style footwear is not suitable.

The Van has a diagonal gear pattern. Incorrect gear changes can lead to over-revving and damage to the fan belt and engine. You must follow the guidance provided at handover.

This vehicle is air-cooled. If any warning light appears on the dashboard, stop the Van immediately and safely and contact us. Do not continue driving.

Maximum speed: 50 mph / 80 km/h. Resting a foot on the clutch pedal while driving will cause clutch burnout. The clutch is set with one inch of free play; absence of this on return indicates excessive wear during the hire.

This vehicle is left-hand drive with no power steering and no ABS. Allow extra space for braking, turning and gear changes. For every 2 consecutive hours of driving, a 30-minute break with the engine off is required.

You are responsible for knowing the height of the Van and must take care when passing under low bridges, canopies or car park height restrictions.

Land Rover Defender (F547 CJP)

The Designated Driver must be confident driving a manual transmission vehicle of this size. You are responsible for knowing the height and dimensions of the Van and must take care in all environments accordingly.

12.3 Appliances and Gas

Appliances and facilities (including gas cooker, fridge and any heating) may only be used whilst the Van is stationary, turned off, parked on level ground with the handbrake applied. Gas must be turned off whenever appliances are not in use. You must not use the cooker, open fire or any gas appliance whilst the Van is moving. A responsible adult must be present whenever appliances are in use. You must familiarise yourself with the location of safety equipment, fire extinguisher, smoke and CO alarms, and hazard warning lights.

Important — Cooking and Heating Appliance Excess: If a claim arises from the use of cooking or heating appliances, your insurance policy applies a co-insurance excess of 25% of the vehicle's value, subject to a minimum of £500. This is in addition to the standard excess. You are strongly advised to take out personal travel insurance to cover this risk.

12.4 Children and Passengers

You are legally responsible for ensuring all children and infants travelling in the Van are appropriately restrained using suitable child seats. We do not provide child or baby seats and accept no liability for the suitability or fitting of seats not supplied by us. Children must not be left unattended in the Van at any time.

12.5 Pets

Pets may only be brought into the Van with prior written agreement from us. An additional pet charge will apply. You must comply with all applicable laws on the carriage of animals. Pets must not be left unsupervised in the Van at any time.

12.6 Keys

You are responsible for the Van's keys throughout the Hire Period. If keys are lost or damaged you will be liable for the full cost of replacement including any call-out charges.

12.7 Roof Rack

May not be used in any circumstances.

12.8 Cleaning

The Van must be returned clean and in the same condition as collected, allowing for fair wear and tear. If the Van requires additional cleaning beyond our standard post-hire clean, we reserve the right to charge reasonable cleaning costs evidenced by invoice.

12.9 Your Vehicle

We accept no responsibility for any vehicle you bring to our premises.

12.10 Travel Abroad

If travel outside the island of Ireland has been agreed in writing, you must ensure a VE103 certificate is arranged for the Van. You are responsible for compliance with all local road laws, regulations and low-emission zones in any country visited.


13. Insurance

13.1 The Van is insured for the approved Designated Driver(s) for the Hire Period, subject to the terms of our insurer's policy. It is a condition of the insurance that the Designated Driver(s) comply with the terms of this Rental Agreement.

13.2 The standard insurance excess applicable to each vehicle is £750. This applies to claims for accidental damage, fire and theft, and malicious damage. The windscreen replacement excess is £100.

13.3 An age-related excess applies as follows (in addition to the standard excess):

  • Age 23–24: £950 excess
  • Age 25–75: £750 excess

13.4 A double excess applies where the Designated Driver has a single 6-point SP30, SP50 or CU80 conviction, or 9 points from three 3-point offences.

13.5 In the event of theft of the Van by the Hirer, an excess of 25% of the vehicle's value will apply. This amounts to £2,125 for the Volkswagen Campervan and £5,000 for the Land Rover Defender (based on current insured values).

13.6 In the event of a claim arising from the use of cooking or heating appliances, a co-insurance excess of 25% of the vehicle's value will apply, subject to a minimum of £500.

13.7 The insurance does not cover: personal accident, personal effects or medical expenses. You are strongly advised to take out your own personal travel insurance covering cancellation, the applicable insurance excess, and personal loss or injury.

13.8 If the Hirer or any driver provides incorrect or misleading information, fails to comply with driver eligibility requirements, breaches the terms of this Agreement, drives under the influence of alcohol or drugs, or allows an unauthorised person to drive the Van, and such actions invalidate or compromise the insurance cover, the Hirer shall be fully responsible for all costs, losses, damages and third-party claims arising.


14. Accidents, Theft, Vandalism and Breakdown

14.1 Accidents and Theft

In the event of any accident, theft or vandalism involving the Van:

  • Report it to the police and to us immediately
  • Do not admit liability, release any party from liability, settle any claim or accept any disclaimer
  • Take the names, addresses and contact details of all parties involved including witnesses
  • Note all vehicle registration numbers
  • Record the time, location, and circumstances of the incident
  • Photograph the scene if possible
  • Do not move the Van before police arrive, unless keeping it in position is unsafe
  • In the event of theft, return the keys to us where possible

An accident, theft or vandalism report must be completed and submitted to us when you return the Van. You must cooperate fully with us and our insurers in any investigation or subsequent legal proceedings.

14.2 Breakdown

In the event of a breakdown:

  • Contact us immediately on the number provided in your Booking Confirmation
  • Remain with the Van until assistance arrives, unless it is unsafe to do so
  • Follow all instructions given by us or our breakdown service

Our breakdown cover is provided by Call Assist (01603 216 366). If the Van cannot be restarted or needs to be recovered, we will arrange assistance. Whilst we make every effort to ensure our vehicles are in full working order, we do not accept liability for indirect or consequential losses arising from breakdowns.

If the Van is damaged or breaks down as a result of your actions (including but not limited to misfuelling, over-revving, clutch burnout or incorrect gear changes), you will be liable for the full cost of repair and recovery, and for any loss of hire revenue during the period the Van is unavailable.


15. Fines, Tolls and Traffic Offences

You are responsible for all road tolls, parking charges, speeding fines and any other penalties incurred during the Hire Period. We reserve the right to charge an administration fee of £25 per incident for handling any toll notice, traffic offence, parking charge or other third-party correspondence arising from your use of the Van during the Hire Period.


16. Liability

16.1 Nothing in this Agreement excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under applicable law.

16.2 You are liable for all loss or damage caused to the Van during the Hire Period, whether negligent, wilful, accidental or otherwise.

16.3 If the Van is rendered unavailable for hire as a result of your actions or negligence, you shall be liable for loss of use calculated at the standard daily hire rate for the period the Van is unavailable, including time required for inspection, repair, parts sourcing and return to service. We will take reasonable steps to mitigate any loss of hire where practicable.

16.4 You agree to indemnify us against claims, losses, costs, charges, liabilities and expenses that are reasonably foreseeable and directly arising from any negligent act, wilful misconduct, or material breach of this Agreement by you or others in your care during the Hire Period. This indemnity does not extend to indirect or consequential losses. It survives the expiry or termination of this Agreement.

16.5 We do not accept liability for indirect or consequential losses arising from breakdowns, cancellations or any other circumstances beyond our reasonable control, to the extent permitted by law.


17. Personal Data

We collect and process personal information (including name, address, contact details, driving licence information and payment details) in order to arrange the hire, verify driver eligibility and administer the associated insurance. This information will be shared with our insurers and brokers (currently Markerstudy Insurance Services Limited via Alan Boswell Insurance Brokers) where required.

We will not sell your personal information to third parties. We may contact you with relevant updates or offers; you may opt out at any time by contacting us. Our full privacy policy is available on request.


18. Entire Agreement

This Rental Agreement supersedes all previous correspondence and any previous course of dealings between the Parties. In the event of any inconsistency between these Terms and Conditions and any other of our literature, these Terms and Conditions will prevail.

If any provision of this Agreement is found by a court to be unlawful, void or unenforceable, that provision shall be severed and the remaining provisions shall continue in full force and effect.


19. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of Northern Ireland. The courts of Northern Ireland shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with this Agreement.


Hirer Declaration

By signing this Agreement, the Hirer confirms that:

  • All information provided regarding driver eligibility is true, accurate and complete
  • Motor claims within the last 5 years have been disclosed where applicable
  • Motoring convictions within the last 5 years have been disclosed where applicable
  • The Designated Driver(s) meet all eligibility criteria set out in Section 6
  • The vehicle-specific requirements in Section 12 have been read and understood
  • The insurance excess provisions in Section 13 have been read and accepted
  • Peter Pan Camper Van is authorised to charge the payment card on file for costs arising from the hire, including costs identified after the Security Deposit has been released, in accordance with Section 8.7

4.6 At our discretion we may allow changes to the Hire Period if requested more than 8 weeks before Collection Day and subject to availability.

4.7 Date changes requested less than 8 weeks before Collection Day will not be accommodated.

4.8 If you return the Van early for any reason, no refund of the Rate will be due, as the vehicle has been reserved exclusively for your use for the full Hire Period.


5. Right of Refusal and Termination

5.1 Where we refuse hire or terminate this Agreement because of a breach of its terms by you, or because information provided by you in connection with driver eligibility or booking was false or misleading, we may retain all monies paid and shall have no further liability to you.

5.2 Where we refuse hire at our discretion for reasons not related to a breach or misrepresentation by you (for example, where we have a reasonable safety concern that cannot be attributed to any specific breach), we will refund the hire fee. The deposit will be retained as a contribution to lost opportunity and costs incurred.

5.3 In either case, we reserve the right to retake possession of the Van immediately and shall have no further liability to you beyond any refund due under clause 5.2.


6. Driver Eligibility

6.1 Only drivers approved in advance by Peter Pan Camper Van may drive the Van. The Designated Driver(s) named in the Booking Confirmation are the only persons permitted to drive the Van during the Hire Period.

6.2 All Designated Drivers must meet the following criteria at the time of hire:

  • Be aged between 23 and 75 years
  • Hold a full driving licence issued in the UK, EU, Australia, USA, Canada, New Zealand or South Africa
  • Have held a full licence for a minimum of 2 years
  • Not have had their licence suspended at any point in the last 3 years
  • Have no more than one fault incident or claim in the last 3 years
  • Have no more than two driving convictions with a maximum of 3 points per conviction
  • Not have obtained a BA, DD or UT conviction
  • Be medically fit to drive and not under the influence of alcohol, drugs or any medication that impairs driving ability

6.3 Additional drivers may be added at our discretion and may be subject to an additional charge. All additional drivers must meet the eligibility criteria above.

6.4 Drivers with certain conviction profiles require referral to our insurers before hire can be confirmed:

  • A single 6-point SP30, SP50 or CU80 offence: permitted subject to a double insurance excess
  • 9 points from three 3-point offences: permitted subject to a double insurance excess
  • A single MS90 or IN10 offence: requires referral to insurers
  • Any ban or disqualification: requires referral to insurers

6.5 You warrant that all information provided to us in connection with driver eligibility is true, accurate and complete. You further warrant on Collection Day that no information provided prior to collection has materially changed. Providing false or misleading information may invalidate the insurance and render you personally liable for all costs, losses and third-party claims arising.


7. Driver Verification Requirements

7.1 The following must be provided for all Designated Drivers before the Hire Period begins:

  • Copy of photocard driving licence — front and back (address and ID must be up to date)
  • Two proofs of address from separate sources, dated within 90 days of the hire end date
  • Written confirmation of any motoring claims or convictions in the last 5 years (see clause 7.5)

7.2 In addition to the above, drivers holding a GB driving licence must provide a DVLA online licence check code. This can be generated at gov.uk/view-driving-licence.

7.3 Drivers holding a Northern Ireland (DVA) driving licence must provide a photo or scan of their counterpart (paper) licence in place of the DVLA online check code. The counterpart licence must be legible and show the full endorsements section.

7.4 For drivers holding a non-UK licence, a copy of the driver's passport must also be provided in place of the DVLA online check code.

7.5 The name and address on the driving licence must match both proofs of address. Any discrepancy requires referral to our insurers.

7.6 Failure to provide satisfactory documentation prior to collection may result in refusal of hire without refund, particularly where this prevents insurance cover being put in place.


8. Security Deposit

8.1 A Security Deposit of £1,000 is required for every hire.

8.2 The deposit is collected by card authorisation via ChargeAutomation, connected to our Stripe account. An authorisation link will be sent to you the day before your Collection Day. Completing this authorisation is a condition of hire — we will confirm the authorisation is in place before handing over the keys.

8.3 A card authorisation is a temporary hold on funds. No money is taken from your account unless costs are incurred under this Agreement. The full amount or any unused portion is released automatically once any applicable hold period has expired.

8.4 The Security Deposit may be used to recover costs arising from any of the following:

  • Damage to the Van or its contents
  • The applicable insurance excess
  • Additional cleaning costs, evidenced by invoice
  • Late return charges
  • Excess mileage charges
  • Unpaid road tolls, fines or penalties
  • Misfuelling
  • Lost or damaged keys
  • Any other material breach of this Agreement resulting in financial loss

8.5 Following return of the Van, we will inspect the vehicle and either capture (charge) or release the authorisation within 24 hours. Partial captures are supported — if, for example, recoverable costs amount to £250, we will capture £250 and the remaining £750 will be released. If no costs are due, the full £1,000 authorisation will be released.

8.6 Where a damage assessment is ongoing, a fine is pending, or costs have not yet been fully quantified, we reserve the right to retain the authorisation beyond the standard 24-hour window. We will notify you if this is the case and will resolve the hold as soon as reasonably practicable.

8.7 You authorise us to charge your payment card for any costs arising from your hire, including costs identified or invoiced after the Security Deposit has been released. This includes but is not limited to: fines, tolls, parking charges, damage repair invoices, or cleaning costs notified after the Hire Period. By signing this Agreement you consent to such charges being applied to your card on file.

8.8 If costs arising from your hire exceed £1,000, you remain personally liable for any balance above that amount.

8.9 In exceptional circumstances where card authorisation is not possible, we may accept a Security Deposit by bank transfer (BACS) from the primary driver's account, received and cleared prior to Collection Day. This must be agreed with us in advance.


9. Collection and Return

9.1 The Van shall be collected on the Collection Day at the time stated in the Booking Confirmation, from Stormont Hotel, Belfast, or another location agreed in writing.

9.2 Please allow approximately one hour for vehicle handover, safety briefing and completion of paperwork on Collection Day.

9.3 On Collection Day, both Parties will complete and sign a Vehicle Check Sheet recording the condition of the Van, which may include photographic or video evidence taken at the time. You must inspect the Van thoroughly at the time of collection and raise any concerns before departure. Any damage not noted on the Vehicle Check Sheet at the start of the Hire Period will be deemed to have occurred during the Hire Period unless evidence demonstrates that the damage existed prior to collection.

9.4 If you unreasonably refuse to sign the Vehicle Check Sheet, we reserve the right to refuse hire without refund.

9.5 The Van must be returned by the time stated in the Booking Confirmation. Late returns will incur a charge of £50 per hour for the first 24 hours. Where a late return extends beyond 24 hours, or where the late return causes loss of a subsequent hire booking, we reserve the right to claim loss of hire revenue in place of the hourly charge. We will not seek both the hourly charge and loss of hire revenue for the same period.

9.6 Upon return, the Van will be inspected against the Vehicle Check Sheet. You are responsible for any new damage identified.

9.7 The Van will be supplied with a fuel level recorded on the Vehicle Check Sheet. You must return the Van with the same fuel level. If the Van is returned with less fuel than recorded, we reserve the right to charge the cost of the missing fuel plus an administration charge of £50. Misfuelling the vehicle will make you liable for all recovery, repair and loss-of-hire costs arising.

9.8 If we agree to collect the Van from you, or to allow return to a location other than our premises, you remain responsible for the Van under the terms of this Agreement until it is received by us or our recovery service.


10. Mileage

10.1 Daily mileage allowances are as follows:

  • Volkswagen Campervan (VUK 104H): 80 miles per day
  • Land Rover Defender (F547 CJP): 120 miles per day

10.2 Excess mileage will be charged at £1 per mile. Any agreed variation to the daily mileage allowance must be confirmed in writing prior to Collection Day.


11. Use of the Van

11.1 The Van must not be used:

  • By anyone not named as a Designated Driver in the Booking Confirmation
  • For the carriage of passengers or goods for hire or reward
  • For towing any trailer or other vehicle
  • For racing, rallying or any competition
  • Off-road or on roads unsuitable for the Van
  • Outside the island of Ireland without our prior written consent
  • For any illegal purpose
  • In contravention of any traffic or parking regulations
  • In restricted areas that would invalidate the insurance

11.2 Smoking inside the Van is strictly prohibited.

11.3 You must not put the Van through a rotary car wash.

11.4 You must not drive the Van when it is overloaded or when loads are not properly secured.

11.5 You must not take the Van through floodwater or allow it to come into contact with saltwater.

11.6 You shall carry only as many passengers as there are seatbelts in the Van and ensure all passengers are belted when the Van is in motion.


12. General Obligations of the Hirer

12.1 Vehicle Safety

You are responsible for familiarising yourself with the Van and its controls. You must comply with all health and safety guidance provided at handover and during the Hire Period.

12.2 Vehicle-Specific Requirements

The following additional requirements apply depending on which vehicle you have hired:

Volkswagen Campervan (VUK 104H) — Air-Cooled Type 2

On Collection Day the Designated Driver will receive a one-to-one orientation and driving demonstration with a representative of Peter Pan Camper Van. Appropriate footwear must be worn — comfortable flat trainers only. Heeled, platform, wedge or mule-style footwear is not suitable.

The Van has a diagonal gear pattern. Incorrect gear changes can lead to over-revving and damage to the fan belt and engine. You must follow the guidance provided at handover.

This vehicle is air-cooled. If any warning light appears on the dashboard, stop the Van immediately and safely and contact us. Do not continue driving.

Maximum speed: 50 mph / 80 km/h. Resting a foot on the clutch pedal while driving will cause clutch burnout. The clutch is set with one inch of free play; absence of this on return indicates excessive wear during the hire.

This vehicle is left-hand drive with no power steering and no ABS. Allow extra space for braking, turning and gear changes. For every 2 consecutive hours of driving, a 30-minute break with the engine off is required.

You are responsible for knowing the height of the Van and must take care when passing under low bridges, canopies or car park height restrictions.

Land Rover Defender (F547 CJP)

The Designated Driver must be confident driving a manual transmission vehicle of this size. You are responsible for knowing the height and dimensions of the Van and must take care in all environments accordingly.

12.3 Appliances and Gas

Appliances and facilities (including gas cooker, fridge and any heating) may only be used whilst the Van is stationary, turned off, parked on level ground with the handbrake applied. Gas must be turned off whenever appliances are not in use. You must not use the cooker, open fire or any gas appliance whilst the Van is moving. A responsible adult must be present whenever appliances are in use. You must familiarise yourself with the location of safety equipment, fire extinguisher, smoke and CO alarms, and hazard warning lights.

Important — Cooking and Heating Appliance Excess: If a claim arises from the use of cooking or heating appliances, your insurance policy applies a co-insurance excess of 25% of the vehicle's value, subject to a minimum of £500. This is in addition to the standard excess. You are strongly advised to take out personal travel insurance to cover this risk.

12.4 Children and Passengers

You are legally responsible for ensuring all children and infants travelling in the Van are appropriately restrained using suitable child seats. We do not provide child or baby seats and accept no liability for the suitability or fitting of seats not supplied by us. Children must not be left unattended in the Van at any time.

12.5 Pets

Pets may only be brought into the Van with prior written agreement from us. An additional pet charge will apply. You must comply with all applicable laws on the carriage of animals. Pets must not be left unsupervised in the Van at any time.

12.6 Keys

You are responsible for the Van's keys throughout the Hire Period. If keys are lost or damaged you will be liable for the full cost of replacement including any call-out charges.

12.7 Roof Rack

May not be used in any circumstances.

12.8 Cleaning

The Van must be returned clean and in the same condition as collected, allowing for fair wear and tear. If the Van requires additional cleaning beyond our standard post-hire clean, we reserve the right to charge reasonable cleaning costs evidenced by invoice.

12.9 Your Vehicle

We accept no responsibility for any vehicle you bring to our premises.

12.10 Travel Abroad

If travel outside the island of Ireland has been agreed in writing, you must ensure a VE103 certificate is arranged for the Van. You are responsible for compliance with all local road laws, regulations and low-emission zones in any country visited.


13. Insurance

13.1 The Van is insured for the approved Designated Driver(s) for the Hire Period, subject to the terms of our insurer's policy. It is a condition of the insurance that the Designated Driver(s) comply with the terms of this Rental Agreement.

13.2 The standard insurance excess applicable to each vehicle is £750. This applies to claims for accidental damage, fire and theft, and malicious damage. The windscreen replacement excess is £100.

13.3 An age-related excess applies as follows (in addition to the standard excess):

  • Age 23–24: £950 excess
  • Age 25–75: £750 excess

13.4 A double excess applies where the Designated Driver has a single 6-point SP30, SP50 or CU80 conviction, or 9 points from three 3-point offences.

13.5 In the event of theft of the Van by the Hirer, an excess of 25% of the vehicle's value will apply. This amounts to £2,125 for the Volkswagen Campervan and £5,000 for the Land Rover Defender (based on current insured values).

13.6 In the event of a claim arising from the use of cooking or heating appliances, a co-insurance excess of 25% of the vehicle's value will apply, subject to a minimum of £500.

13.7 The insurance does not cover: personal accident, personal effects or medical expenses. You are strongly advised to take out your own personal travel insurance covering cancellation, the applicable insurance excess, and personal loss or injury.

13.8 If the Hirer or any driver provides incorrect or misleading information, fails to comply with driver eligibility requirements, breaches the terms of this Agreement, drives under the influence of alcohol or drugs, or allows an unauthorised person to drive the Van, and such actions invalidate or compromise the insurance cover, the Hirer shall be fully responsible for all costs, losses, damages and third-party claims arising.


14. Accidents, Theft, Vandalism and Breakdown

14.1 Accidents and Theft

In the event of any accident, theft or vandalism involving the Van:

  • Report it to the police and to us immediately
  • Do not admit liability, release any party from liability, settle any claim or accept any disclaimer
  • Take the names, addresses and contact details of all parties involved including witnesses
  • Note all vehicle registration numbers
  • Record the time, location, and circumstances of the incident
  • Photograph the scene if possible
  • Do not move the Van before police arrive, unless keeping it in position is unsafe
  • In the event of theft, return the keys to us where possible

An accident, theft or vandalism report must be completed and submitted to us when you return the Van. You must cooperate fully with us and our insurers in any investigation or subsequent legal proceedings.

14.2 Breakdown

In the event of a breakdown:

  • Contact us immediately on the number provided in your Booking Confirmation
  • Remain with the Van until assistance arrives, unless it is unsafe to do so
  • Follow all instructions given by us or our breakdown service

Our breakdown cover is provided by Call Assist (01603 216 366). If the Van cannot be restarted or needs to be recovered, we will arrange assistance. Whilst we make every effort to ensure our vehicles are in full working order, we do not accept liability for indirect or consequential losses arising from breakdowns.

If the Van is damaged or breaks down as a result of your actions (including but not limited to misfuelling, over-revving, clutch burnout or incorrect gear changes), you will be liable for the full cost of repair and recovery, and for any loss of hire revenue during the period the Van is unavailable.


15. Fines, Tolls and Traffic Offences

You are responsible for all road tolls, parking charges, speeding fines and any other penalties incurred during the Hire Period. We reserve the right to charge an administration fee of £25 per incident for handling any toll notice, traffic offence, parking charge or other third-party correspondence arising from your use of the Van during the Hire Period.


16. Liability

16.1 Nothing in this Agreement excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under applicable law.

16.2 You are liable for all loss or damage caused to the Van during the Hire Period, whether negligent, wilful, accidental or otherwise.

16.3 If the Van is rendered unavailable for hire as a result of your actions or negligence, you shall be liable for loss of use calculated at the standard daily hire rate for the period the Van is unavailable, including time required for inspection, repair, parts sourcing and return to service. We will take reasonable steps to mitigate any loss of hire where practicable.

16.4 You agree to indemnify us against claims, losses, costs, charges, liabilities and expenses that are reasonably foreseeable and directly arising from any negligent act, wilful misconduct, or material breach of this Agreement by you or others in your care during the Hire Period. This indemnity does not extend to indirect or consequential losses. It survives the expiry or termination of this Agreement.

16.5 We do not accept liability for indirect or consequential losses arising from breakdowns, cancellations or any other circumstances beyond our reasonable control, to the extent permitted by law.


17. Personal Data

We collect and process personal information (including name, address, contact details, driving licence information and payment details) in order to arrange the hire, verify driver eligibility and administer the associated insurance. This information will be shared with our insurers and brokers (currently Markerstudy Insurance Services Limited via Alan Boswell Insurance Brokers) where required.

We will not sell your personal information to third parties. We may contact you with relevant updates or offers; you may opt out at any time by contacting us. Our full privacy policy is available on request.


18. Entire Agreement

This Rental Agreement supersedes all previous correspondence and any previous course of dealings between the Parties. In the event of any inconsistency between these Terms and Conditions and any other of our literature, these Terms and Conditions will prevail.

If any provision of this Agreement is found by a court to be unlawful, void or unenforceable, that provision shall be severed and the remaining provisions shall continue in full force and effect.


19. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of Northern Ireland. The courts of Northern Ireland shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with this Agreement.


Hirer Declaration

By signing this Agreement, the Hirer confirms that:

  • All information provided regarding driver eligibility is true, accurate and complete
  • Motor claims within the last 5 years have been disclosed where applicable
  • Motoring convictions within the last 5 years have been disclosed where applicable
  • The Designated Driver(s) meet all eligibility criteria set out in Section 6
  • The vehicle-specific requirements in Section 12 have been read and understood
  • The insurance excess provisions in Section 13 have been read and accepted
  • Peter Pan Camper Van is authorised to charge the payment card on file for costs arising from the hire, including costs identified after the Security Deposit has been released, in accordance with Section 8.7
